APIC-NE sponsors its bi-annual conference at the Springfield Marriott in Springfield, Massachusetts.
Over the past several years, vendor interest has expanded and many vendors have set up booths for our annual fall conference and vendor show.
Please review the following opportunities for your interest. The details for participation are also provided and must be adhered to provide for an equal opportunity for all who express interest.
§ All monies received by APIC-New England from vendors, in support of our conference, are to be paid as an unrestricted educational grant.
§ Any vendor display table/ booth space includes a table, table cover, list of attendees and two vendor lunches/snacks free of charge. Additional vendor meals/snacks can be purchased for $50 fee at the time of registration or the morning of the conference.
§ All vendors will need to present an updated insurance certificate for liability, naming both the APIC chapter and the Marriott hotel as “additional insured”.
§ Space is honored on a first come first served basis, with 25% non-refundable deposit securing space and remainder of funds due one week before the event. Any registration received without payment will not be considered until the deposit is received. See additional details on next page.
§ Any vendor who arrives at the conference without prearranged deposit and space reservation may be turned away as we are only allowed 30 spaces by fire code.
§ Every vendor who sponsors a speaker will have a free table set up for displaying products at the conference they are supporting.
§ Vendors who sponsor speakers are responsible for all speaker fees.
§ For those vendors who are interested, a W9 form is attached, please ask for signature the day of the conference.

Participation is determined on a first come, first served basis.
Each vendor booth site includes a table, table cover provided by the hotel and a contact list of attendees. Vendor reservation includes meals and snacks for two vendors per table. If you are considering bringing more than 2 people, please let us know. There will be an additional $50 fee per additional vendor representative to cover meals and snacks.
Fall conference space is limited to the first 30 vendors which complete the registration process. Registrations are not considered complete until all required components are received. Vendors who complete the registration process will receive email confirmation of their attendance. All vendors should consider themselves “in process” until they receive such email confirmation. All registrations are confirmed on a first come, first served basis. Space will not be “held” if another vendor is able to complete the registration process in a more timely fashion.
